Job Description

The Grant Administrator I, under general supervision of TWRI leadership, provides support for pre- and post-award processes, including, but not limited to, grant proposal submission, account establishment and account and deliverable monitoring. This position also reviews agreements, subaward documents, budgets and other documents prior to final submission and approvals and acts as a liaison with Texas A&M Sponsored Research Services.

Responsibilities

  • Compile proposal timelines and outlines of solicitations and internal requirements and ensure all are met prior to submission.

  • Draft and/or review budgets, budget justifications and required proposal materials, including subaward documents, in the pre-award process for accuracy, completeness and compliance prior to submission to ensure grants are prepared and processed correctly.

  • Assist with budget questions, budget revisions, expenditure projections, remaining balance reminders, extensions and other proposal and project needs and concerns.

  • Manage reviews and approvals for budget revisions and various invoicing tasks.

  • Assist with award agreement review and account setup and review process.

  • Maintain electronic files for proposals and awards.

  • Maintain pending proposals and active projects lists, providing monthly and annual reports as needed.

  • Track status of pending awards and amendments to ensure timely execution.

  • Serve as a liaison between TWRI staff and Sponsored Research Services (SRS).

  • Update personnel eligibility lists (PELs) as needed.

  • Collect and upload project reports to MAESTRO.

  • Reviews and approves subaward agreements for setup and monitors subaward spending.

  • Assist with cost share tracking and commitments.

  • Assist with compilation and review of information for institute reporting.

  • Perform other duties as assigned.

Required Education and Experience:

  • Bachelor’s degree in business or equivalent combination of education and experience.

  • Two years of related experience in pre- and post-award contract and grant administration in a university or state agency setting.

Preferred Education and Experience:

  • Two or more years of experience writing, editing, and/or developing competitive proposals for federal, state or private agency calls.

  • Experience working with university research administration and faculty with knowledge of the scientific process and proposal development.

  • Two or more years of experience editing scientific or technical writing.

  • Two or more years of experience developing and/or reviewing project budgets.

Required Knowledge, Skills and Abilities:

  • Knowledge of Microsoft Office, particularly word processing (Word), spreadsheet (Excel), email (Outlook) and filing/chat applications (Teams).

  • Ability to multitask and work cooperatively with others.

  • Extremely well organized.

  • Ability to manage time efficiently.

  • Service oriented.

Preferred Knowledge, Skills, and Abilities

  • Familiarity with Grants.gov, Research.gov and key requirements for proposals requested by USDA, NSF and state agencies.

  • Demonstrated knowledge of proposal administration.

  • Demonstrated knowledge of proposal development.

  • FAMIS/Canopy, MAESTRO
