Pay rate: $24 - $26.44/hour

Term: Temporary

Schedule: Monday – Friday/ Occasional Overtime based on project work but not a regular occurrence.

What’s a typical day as a Project Coordinator? You’ll be:

• Assisting Project Managers with the planning, administration, financial accounting, and reporting of projects.

• Providing administrative support, including typing, filing, emailing, and correspondence routing.

• Writing purchase orders for Project Managers and Field Employees.

• Reviewing invoices prior to Project Managers' signatures.

• Overseeing and handling all facets of setting up and maintaining job files.

• Preparing Submittal Manuals and Payment & Performance Bonds if required by the customer.

• Preparing any closeout documents and Operation & Maintenance Manuals if required by the customer.

• Initiating billing for jobs in process and any required Pay Applications by the customer.

• Following through with payroll questions from Accounting regarding timecards.

• Keeping track of Accounts Receivables and following through with past due notices, notice of non-payments, and liens.

• Ensuring all necessary permits are requested and obtained and calling inspections as requested.

• Filing and tracking Notice To Owners, making sure they are issued on time.

• Issuing Certificates of Insurance when opening a job or when requested.

• Preparing WIP Reports for Project Managers at the end of the month.

• Initiating Warranty Letters when required and distributing them in the Warranty book.

• Making travel arrangements/accommodations for Project Managers and Field Employees on out-of-town jobs or business-related.

• Updating AR weekly with a report from the accounting system and moving amounts over to the right columns according to past due days.

• Communicating with Project Managers and Project Administrators regarding any changes or updates concerning Projects.

• Attending weekly AR meetings to review status and collection activity.

This job might be an outstanding fit if you:

• Are a High School graduate.

• Have an AA degree in Business Administration (desired).

• Have a minimum of seven (7) years of experience as an Administrative Assistant or Project Coordinator in the Construction field.

• Have knowledge of construction forms and permits necessary.

• Have strong administrative skills.

• Are computer literate in Microsoft Products.

• Have excellent communication skills.

• Have the ability to coordinate and work well with others.

• Can work well under stress and multitask.
