The Department of Medicine, Division of Hospital Medicine has an exciting opportunity for a Full-Time Sr. Administrative Assistant to work on the UHealth Campus. The Sr. Administrative Assistant performs a variety of clerical functions and office support activities for assigned department(s) to facilitate the efficient operations of the office.

  • Provide Administrative Clinical/ Clerical support to the Divisions of Geriatrics & Palliative Care and Hospital Medicine inclusive of scheduling, calendar management, overload payment processing, tracking faculty efforts, and coordinating ad hoc projects as needed.

  • Completes special assignments requiring collecting, organizing, and analyzing data which may be the basis for significant decisions for patient’s protocol and hospital operations.

  • Oversees and Manages calendar assignments in QGenda.

  • Interacts and supports the Physicians and the ARNP/RN to ensure smooth clinical operations.

  • Ensures completed work products meet required timelines and standards of quality and quantity.

  • May provide ancillary support to physicians, clinical activities, business services, student services, etc.

  • Facilitates Home Health orders and Death Certificates for timely processing.

  • Coordinates Divisional Grand Rounds as well as Faculty meetings.

  • Manages Chief’s calendar.

  • Acts as a back-up to Practice Manager when out of office.

  • Assists with Credentialing, on boarding, and off boarding of both faculty and staff.

  • Maintains updated inventory of Divisional Supplies and places Workday orders in a timely fashion.

  • Maintain files and databases.

MINIMUM QUALIFICATIONS

  • High School Diploma or equivalent

  • Minimum 3 years of relevant experience

  • General knowledge of office procedures and operations

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to communicate effectively in both oral and written form

  • Ability to maintain effective interpersonal relationships

  • Ability to process and handle confidential information with discretion

  • Skill in completing assignments accurately and with attention to detail

  • Proficiency in computer software (i.e. Microsoft Office)

    Any appropriate combination of relevant education, experience and/or certifications may be considered.
