Description

We are offering an opportunity for an Executive Assistant in the manufacturing industry, located in Indianapolis, Indiana. The chosen candidate will be responsible for providing administrative support to the leadership team, overseeing office administration, and managing relationships with vendors related to office management. This role also includes assisting the HR team with various tasks and scheduling company-wide events.

Responsibilities:

• Provide administrative support to the leadership team, ensuring confidentiality of business matters, emails, and all forms of sensitive correspondence.

• Coordinate with finance and HR teams to prepare presentations for monthly board meetings and business review meetings.

• Monitor executive calendars, scheduling, and tracking follow-up tasks.

• Arrange and prepare for conferences, board meetings, and internal/external meetings.

• Handle travel arrangements and monitor and submit travel expenses, updating changes as necessary.

• Prepare and coordinate documents for attention and signatures.

• Oversee office administration to ensure efficiency of operations.

• Manage relationships with vendors related to building and office management.

• Assist the HR team with administrative tasks and scheduling company-wide events.

• Assist with various employee announcements, including creating and distributing organizational announcements and updating organizational charts.

Requirements

• Candidate must possess relevant experience in administrative assistance.

• The applicant must have excellent organizational and multitasking skills.

• Strong communication skills, both written and verbal, are required for this position.

• The applicant should be able to handle sensitive information confidentially.

• Proficiency in using Microsoft Office Suite is required.

• The candidate should possess strong analytical and problem-solving abilities.

• Attention to detail and accuracy are necessary for this role.

• The applicant should be capable of working independently as well as in a team.

• The role requires the ability to manage time efficiently and meet deadlines.
