Position Summary

The primary responsibility of this position is to assist VP, Supply Chain Management, SCM managers, and/or staff members in the course of day-to-day business activities.

Duties & Responsibilities

ESSENTIAL

  • Manages supplier on-boarding process through eSupplier
  • Provide reports as needed to the SCM team – PeopleSoft Reports, Trend Report, Detail Activity report, Shared Services Report, Demand Fulfillment etc.
  • Assist suppliers with problems pertaining to PeopleSoft.
  • Coordinate with IT for any eSupplier design adjustments or changes.
  • Maintain and communicate with current suppliers - inactive/active suppliers for all regions.
  • Process expense reports and other invoices for the SCM team and Facilities.
  • Reviews and researches department expenses
  • Reconciles/maintains company credit card statements.
  • Assist the SCM team with IT issues.
  • CampusShip (UPS) communicate with suppliers and help set up with login information.
  • Create PowerPoint presentations, prepare and update spreadsheets.
  • Maintain calendars and schedules.
  • Answer and screen telephone calls, greet scheduled visitors and direct to appropriate area or person.
  • Arrange and coordinate travel schedules and reservations.
  • Coordinate and arrange meetings and lunches, prepare agendas, reserve and prepare conference rooms.
  • Manage and set up conference calls for staff meetings and other necessary meetings.
  • Order and maintain supplies and arrange for equipment maintenance.
  • Organize and maintain file systems.
  • Create and maintain organizational charts and flowcharts.
Qualifications

REQUIRED

  • High School Diploma.
  • Experience in related administrative and clerical function.
  • Experience with standard email and internet systems.
  • Basic skills with MS Office applications.
  • High knowledge of Microsoft products – Excel, PowerPoint, Word.
