Our growth has created the need for an Executive Assistant in our Houston Regional Office working within the Executive Team. Responsible for providing high-level comprehensive support to senior-level positions and managing the organization’s office operations. This position requires the ability to anticipate needs, think critically, be resourceful, and offer solutions to problems with the highest level of professionalism and confidentiality. Must be a high-energy self-starter who can multitask and support multiple Executives. The Executive Assistant will interact with internal and external stakeholders, external agencies, and external service providers, and must demonstrate a collaborative approach. Applicants interested in this opportunity must be comfortable working in a deadline-driven environment. Must be able to prioritize and multi-task, functioning effectively in a dynamic working environment with changing and shifting priorities. This opportunity will also be involved in the day-to-day activities at our Houston Regional Office and assist with a multitude of initiatives. This opportunity will require an office presence five days a week at our Spenwick office during regular business hours.

Job Responsibilities:

  • Meeting and greeting visitors; Sr. Executives, clients, vendors, and staff

  • Arranging high-volume and complex travel and hotel accommodations

  • Screening and managing communications: The personal assistant filters and prioritizes incoming calls, emails, and other forms of communication, ensuring that the President is aware of important messages and requests. They may also draft and respond to correspondence on behalf of the President

  • Organizing and preparing for meetings: The executive assistant helps prepare agendas, collate relevant documents, and coordinate logistics for meetings. They may also take minutes and follow up on action items.

  • Complete a broad variety of administrative tasks that facilitate the senior leadership team’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff

  • Maintains the senior leadership teams’ calendar, including scheduling meetings, appointments, speaking engagements, and travel. Responsible for exercising discretion in committing time and evaluating needs and priorities.

  • Process expenses and invoices promptly; ensure adherence to the company's policies

  • Performs specialized assignments; solves complex problems and develops non-traditional solutions through sophisticated analytical thinking.

  • Proficiency with Audio/Visual equipment, Video Conferences, and Microsoft Teams

  • Notary Public of Texas or willingness to earn a notary commission certificate within the first year of employment.

  • Meeting and event coordination experience

  • Performs all other duties as assigned by management

  • Flexibility to work overtime, as needed

Minimum Qualifications:

  • Five years of experience supporting administrative functions at the executive level, or a combination of applicable education and experience

  • Superior customer service skills with excellent communication, both written and verbal

  • Highly organized, strong time management and multi-tasking abilities

  • Provide oversight of facility responsibilities to ensure the site operates smoothly

  • Proficient with Microsoft Office suite of products

Work Environment:

Office: While performing the duties of this job, the employee is regularly exposed to an office environment. Occasionally, the employee will be exposed to a warehouse environment and will be required to wear appropriate PPE. The employee is frequently required to use hands and fingers to type, touch, handle, feel, and reach with hands and arms.

Compensation:

RectorSeal has an effective process for assessing market data and establishing ranges to ensure we remain competitive. You are paid within the salary range based on your experience and market position.

Employees may be eligible for pay incentives based on overall corporate and individual performance or at the discretion of the CSWI Board of Directors.
