Description

We are seeking a motivated and detail-oriented Administrative Assistant to join our team and provide essential support to our operations. As an Administrative Assistant, you will play a key role in supporting the administrative functions of our organization.

Responsibilities:

Office Management:

  • Greet visitors, answer phone calls, and manage general inquiries with professionalism and courtesy.

  • Maintain an organized and tidy office environment, including managing office supplies and equipment.

Data Entry and Record Keeping:

  • Input and update data in the organization's database and maintain accurate records.

  • Assist in maintaining employee records, including attendance and leave tracking.

Correspondence and Communication:

  • Draft and edit emails, letters, and other correspondence as needed.

  • Coordinate communication between staff members and external stakeholders.

Meeting and Event Support:

  • Assist in scheduling meetings, preparing agendas, and arranging logistics for events and meetings.

  • Take minutes during meetings and distribute them to relevant parties.

Document Preparation:

  • Prepare and format documents, presentations, and reports using Microsoft Office Suite or other software.

  • Proofread materials for accuracy and completeness.

Travel Arrangements:

  • Assist with booking travel arrangements, including flights, accommodations, and transportation for staff members.

  • Prepare detailed itineraries and travel expense reports.

Administrative Assistance:

  • Provide general administrative support to staff members, including filing, copying, and scanning documents.

  • Assist in coordinating special projects and tasks as assigned by management.

    Requirements

Qualifications:

  • Previous experience in an administrative support role is preferred.

  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite and general office equipment.

  • Ability to handle confidential information with discretion and professionalism.

Education:

  • High school diploma or equivalent. Additional education or certification in office administration is a plus.
