Job Summary: We are seeking a reliable and highly organized administrative assistant to join our team. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask effectively. The administrative assistant will provide administrative support to various departments within the organization, including but not limited to scheduling appointments, managing calendars, coordinating meetings, preparing documents and presentations, and handling correspondence.

Responsibilities:

  • Manage and maintain executives' schedules, appointments, and travel arrangements.

  • Coordinate meetings, conferences, and events, including arranging logistics, preparing agendas, and taking minutes.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Answer and direct phone calls, emails, and other correspondence to appropriate parties.

  • Assist in the preparation of budgets, reports, and financial documents.

  • Maintain organized filing systems, both electronic and physical.

  • Perform data entry, update databases, and generate reports as needed.

  • Order and maintain office supplies and equipment.

  • Handle confidential information with discretion.

  • Provide general administrative support to management and other staff as needed.

    Requirements:

  • Proven experience as an administrative assistant or relevant administrative role. 3+ years.

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

  • Excellent communication skills, both written and verbal.

  • Strong organizational and time-management skills.

  • Attention to detail and accuracy.

  • Ability to multitask and prioritize tasks effectively.

  • Professional demeanor and strong work ethic.

  • Ability to work independently with minimal supervision.

  • Associate's degree or higher in business administration or related field preferred.

    Additional Skills (Preferred):

  • Knowledge of basic accounting principles.

  • Familiarity with project management tools

  • Previous experience in the Construction Industry

    Work Environment: The administrative assistant will primarily work in an office environment, but may occasionally need to travel for meetings or events. This position may require occasional overtime or weekend work to meet deadlines or accommodate special projects.
