The Executive Admin Assistant will carry out all highly responsible and confidential tasks related to the job for a manager or Director of the company.

What will your main scope be?

  • Planning meetings, maintaining the calendar, and informing the supervisor of meetings. Organizing meetings and presentations and participating in their preparation as necessary. Coordinating business travel and business travel requests as required.

  • Preparation of materials, taking minutes, producing reports, and recording mail received and sent. Maintaining inventory of office equipment and stationery. Effective use of new technology to improve office efficiency.

  • Managing the correspondence of the company's management. Passing on information to the department(s) as required.

  • Arranging other general tasks (phone calls, photocopiers, consumables, refreshments, daily refreshments, etc.) and carrying out other administrative and organizational tasks as directed by supervisors.

  • Receiving and forwarding telephone calls, taking messages, and making outgoing calls.

  • Establishing and maintaining harmonious working relationships with supervisors, colleagues, customers, suppliers, and government representatives.

  • Managing archives, organizing staff events and meetings, and carrying out secretarial and general management tasks.

  • Taking authorized action in the absence of a superior, using initiative and good judgement to ensure that matters requiring attention are dealt with appropriately.

  • Managing cost reports for direct reports and ensuring that the reports comply with the Company's rules.

  • Supporting senior management with office equipment requests and processing routine documentation and form filling in accordance with company rules.

  • Substituting for colleagues on similar and similarly demanding work as required.

  • Cooperation with other departments and other work and tasks as directed by the supervisor within the scope of the post.

What do we expect from the candidate?

  • Degree in administration or economics or social sciences.

  • At least 3 years' experience in administration or related activities.

  • Good to fluent knowledge of English (spoken and written).

  • Knowledge of MS Office environment (Outlook, Word, Excel, PowerPoint).

  • Good communication and organizational skills.

  • Proactive, self-initiative and team oriented.

  • Discretion, perseverance, and responsibility at work.

  • Category B driving license.

Vaše glavno področje delovanja?

  • Načrtovanje sestankov, vzdrževanje koledarja in obveščanje nadrejenega o sestankih. Organizacija sestankov in predstavitev ter po potrebi sodelovanje pri njihovi pripravi. Po potrebi usklajevanje in koordiniranje poslovnih poti in zahtev za službena potovanja.

  • Pripravljanje gradiv, vodenje zapisnikov in izdelovanje poročil ter evidentiranje prejete in oddane pošte. Vzdrževanje zalog pisarniške opreme in pisarniškega materiala. Učinkovita uporaba nove tehnologije za izboljšanje učinkovitosti pisarne.

  • Urejanje korespondence vodstva družbe. Po potrebi predajanje informacij v oddelku(ih).

  • Urejanje drugih splošnih opravil (telefonija, fotokopirni stroji, potrošni material, oskrba z napitki, artikli za dnevno pogostitev strank ipd.) ter izvajanje drugih administrativnih in organizacijskih opravil po naročilu nadrejenih.

  • Sprejemanje in posredovanje telefonskih klicev, sprejemanje sporočil in opravljanje odhodnih klicev.

  • Vzpostavljanje in vzdrževanje harmoničnih delovnih odnosov z nadrejenimi, sodelavci, strankami, dobavitelji in vladnimi predstavniki.

Obvladovanje arhiva, organiziranje prireditev in srečanj zaposlenih ter izvajanje tajniških opravil in splošnih opravil za vodstvo.

  • Sprejemanje pooblaščenih ukrepov v odsotnosti nadrejenega, pri čemer se uporablja pobudo in dobro presojo, da se zagotovi ustrezno obravnavo zadev, ki zahtevajo pozornost.

  • Upravljanje poročil o stroških za neposredne vodilne poročevalce in zagotavljanje, da poročila upoštevajo pravila družbe.

  • Podpiranje višjega vodstva pri zahtevkih za pisarniško opremo ter obdelava rutinske dokumentacije in izpolnjevanje obrazcev v skladu s pravili podjetja.

  • Po potrebi nadomeščanje sodelavk in sodelavcev na podobnih in podobno zahtevnih delih.

  • Sodelovanje iz ostalimi oddelki ter druga dela in naloge po navodilih nadrejenega, ki spadajo v delokrog delovnega mesta.

Kaj pričakujemo od kandidata/kandidatke?

  • Višješolska izobrazbe administrativne ali ekonomske ali družboslovne smeri.

  • Najmanj 3 leta delovnih izkušenj v administraciji ali sorodnih dejavnostih.

  • Dobro do tekoče znanje angleškega jezika (govorno in pisno).

  • Poznavanje okolja MS Office (Outlook, Word, Excel, PowerPoint).

  • Dobre komunikacijske spretnosti in organizacijske sposobnosti.

  • Proaktivnost, samoiniciativnost in timsko naravnan kandidat/kandidatka..

  • Diskretnost, vztrajnost in odgovornost pri delu.

  • Vozniški izpit B kategorije.
